MISSION
We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to your line manager’s working life and requirements.
ACTIVITIES
- Act as the point of contact between Line Manager and internal/external customers
- Screen and direct phone calls/emails and distribute correspondence
- Handle requests and queries appropriately
- Manage daily calendar on demand and in forecast; make sure meetings happen on time and are well-prepared (participants join on time, online connection is set up …)
- Make travel arrangements (book, arrange and request payments logistics, accommodation & other expenses)
- Take dictation and meeting minutes, prepare documents following standard/internal forms/templates
- Source administration & logistics arrangement when needed
- Produce reports, presentations and briefs on demand
- Act as scanning point for all documents proposed to Direct Manager; be able to understand the background (what, why & how) of what is proposed
- Devise and maintain office filing system
- Process owner of SAP MM – Non-merchandise Procurement system
- Together with Project team to organize workshops to collect business requirements
- Confirm business requirements to IT team for solution development
- Organize testings & training for key users & end users
- Prepare Master Data for go-live
- Act as contact point between users and IT for arising issues & change requests
- Other tasks assigned from the line manager.
REQUIRED BACKGROUND & ATTITUDE
Education: Bachelor’s degree
Seniority: 3 years of experience as Personal Assistant Role
Language: Fluent in English
Office skills: Word, Excel, PowerPoint, HRIS, SAP MM
Attitude: Disciplined, honest, prudent, proactive, timely, attentive, flexible, problem-solving & details-oriented.
